This policy explains what personal data Olinda Private Chef Agency collects, why we hold it, how long we keep it, and what you can ask us to do with it. It applies to chefs who send us their details, to clients who contact us about a placement, and to anyone who uses this website.

Data we collect from chefs
When you apply to join our books, or we approach you about a role, we collect:
- Name, email address, telephone number and the city or country you are based in
- Your CV and work history, qualifications and certificates
- Menus, photographs and video of your work, and links you send us
- Salary expectations, availability, and the kind of work you are looking for
- Your right to work and visa status where a role requires it
- References, and the notes we take when we speak to the people who gave them
- Our own assessment notes from interviews and reference calls
We do not ask for special category data — health, religion, ethnicity, or anything similar. Please do not send it. If a household's requirements make something of this kind relevant to a role, we will ask you specifically and only with your consent.
Data we collect from clients
When you contact us about a placement we collect your name, contact details, the location of the role, and the details of the household that are necessary to run the search — size of household, schedule, dietary requirements, budget and timing. We keep correspondence about the search.
Why we hold it, and our lawful basis
| What for | Lawful basis |
|---|---|
| Assessing whether to represent a chef, and matching chefs to roles | Legitimate interests — running a placement agency, which is the service both parties came to us for |
| Sending a chef's details to a specific client | Consent — we ask each time, for each household |
| Taking up references | Consent — we ask before we call anyone |
| Managing a client engagement and invoicing | Contract, and legal obligation for tax records |
| Keeping you on our books for future roles | Consent, which you can withdraw at any time |
Who we share it with
We share a chef's details with a prospective client household only after that chef has agreed to it, for that specific role. We never circulate CVs speculatively.
We also use service providers who process data on our behalf: our website host, our email provider, our scheduling tool and the system we keep candidate records in. They act on our instructions and may not use the data for their own purposes.
We do not sell personal data, and we do not share it for advertising.
International transfers
We operate in Spain and in the United States, and our offices work on the same searches. This means personal data originating in the European Economic Area may be transferred to, and accessed from, the United States. Where that happens we rely on the appropriate safeguards available to us, including the European Commission's standard contractual clauses with our providers. You can ask us for details of the safeguards that apply.
How long we keep it
- Chefs on our books: [THREE] years from our last contact with you, after which we delete your file unless you ask us to keep it current.
- Chefs we did not take on: [TWELVE] months, then deleted.
- Client records: for the duration of the engagement and [SIX] years afterwards, which is what tax and contract records require.
- Website enquiries that go nowhere: [TWELVE] months.
Your rights
If you are in the EEA or the UK you have the right to ask us for a copy of the data we hold about you, to correct it, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on consent, you can withdraw it at any time — that does not affect anything we did before you withdrew it.
Email info@olindarecruiting.com and we will respond within one month. There is no charge.
If you are not satisfied with how we have handled your data you can complain to the Spanish data protection authority, the Agencia Española de Protección de Datos, or to the supervisory authority in your own country.
California residents
If you are a California resident you have the right to know what personal information we collect and why, to request its deletion, to correct it, and not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined under California law. Requests go to the same address above.
Cookies and analytics
[Complete this section once you know what the site runs. If you add analytics, say which tool, what it stores, and offer a way to decline. If the site uses no tracking beyond what is strictly necessary to serve the pages, say exactly that — it is a better answer than most of your competitors can give.]
Security
Candidate files are held in access-controlled systems, limited to the people at Olinda who need them to do a search. We review who has access when someone joins or leaves.
Changes
If we change this policy we will update the date at the top of this page, and tell you directly if the change materially affects you.
